Notes on terms in the above table:

  • Space - a storage for an individual or team to organize contents (in form of pages); each user has its own personal space, while a space can also be created for a team
  • Space Name - name of a space, which is human-friendly and can be changed, e.g. "Confluence 101"
  • Space Key - a key which is used internally, and is unique in the whole system and cannot be changed after creation of the space, e.g. "TUTORIAL" is the space key for the space "Confluence 101". You can use "Space Tools > Overview" to check your space key:
  • Group - name of the group, which is used for assigning restrictions to space or page
  • Test User - login name of a Confluence user for students to test out features in Confluence
  • Test User password - password for the user

General Settings on Permissions in Spaces

  • All existing users in Confluence must be in the group sd_ld_users. Note that a user can belong to more than one groups.
  • The term Permissions in Confluence refers to access rights to spaces and pages and resources associated with them. The following is the general settings on permissions on different types of spaces in Confluence:
    1. Spaces for shared access by all users (e.g. Confluence 101, Design ProcessTKBDET4M)
      • All existing users in Confluence (that is, those in the group sd_ld_users) have rights in the space to 
        • View - view content (ie. pages and associated attachments)
        • Delete Own - delete any attachment and comment added by the same user
        • Add Attachment - add attachment (e.g., paste a photo, drag-drop a file) to a page
        • Add Comment - add comment to a page
      • Note that they are not allowed to
        • modify or delete any page in the space
        • delete any attachment created by another user
        • delete any comment created by another user
      • Use "Space Tools > Permissions" to check your granted permissions to a particular space, as follows:
        • Note that if you are NOT granted the "Admin" rights in the "Permission", you will not have access to the function "Space Tools > Permissions".
    2. Spaces for particular subjects (e.g. SD39852019S2)
      • A subject space is usually named as <subject code>_<year>_<semester>. For example, SD3985_2019_S2.
      • Only teachers and students in the subject can access to this space, and they are in groups whose names end with "_teachers" and "_students" respectively. Note that:
        • Teachers have full access to the space, 
        • Students can View, Delete Own, Add Attachment and Add Comment
      • As an example, the following shows the permissions for SD3985_2019_S2
    3. Spaces for team projects
      • These are spaces for project teams, so that they can capture all materials during their projects.
      • Only members in the team will have full access to the project teams, and they have "Admin" rights.
      • If the project team is related to a subject,
        • students in the same subject but NOT in the same team will have rights to View, Delete Own, Add Attachments and Add Comments to the space
        • teachers will have full access rights to the space
      • As an example, the following shows the permissions for SD1105_2019_S2_TEAM_F01
    4. Personal space
      • This is the space belonging to an individual user.
      • All existing users in Confluence (that is, those in sd_ld_users) have rights to View, Delete Own, Add Attachment and Add Comment
      • Space owner has full access rights to the space, including the "Admin" rights
      • Note that as the owner can have "space admin", he/she can allow other users/groups to have different access rights to his/her own personal space

Steps

  1. Login to Confluence (www.designandmake.org)
    1. If you do not have the password, press Forgot Your Password? to request the Confluence to send you an email to reset your password. Please make sure you enter the correct user name or email. For students, your user name should your student ID number (e.g. 12345678d). 
    2. After pressing the Send it to me button, you should receive a message like this
      1. Note that the sender is from a domain name "designandmake.org". Your email client may consider this email to be junk or spam, and hence you will have to look for it in those associated folders in your email client.
    3. Follow the link to reset your password.
    4. Alternatively, you can also use one of the four test users (CONF101_U01 to CONF101_U04) above
  2. What is Confluence?
    1. Watch the 60s video in Overview of Atlassian Confluence
    2. Visit Learning Resources for Confluence for learning resources on Confluence.
    3. Confluence is an "Enterprise Social Media Platform"
    4. It is for facilitating communications and sharing of information in an enterprise, but yet is not open to public - just like Facebook but within an enterprise.
    5. Keep track of changes, allow access control, support project management, support collaborations, and more.
    6. It has many spaces, each space has its own access control (on view, edit and delete)
    7. Each space has pages arranged in hierarchy, and access rights to each page can be controlled

  4. Personal space
    1. create personal space (Create a personal space - Learn Atlassian Confluence #41)
      1. use Add Personal Space to create your personal space
      2. create a page in your personal space with the title confluence 101 submission. Use this page to keep a record of what you have achieved in this workshop in those steps marked with Task. This will be your individual submission in Individual Submission Page.
    2. Taskmodify space permissions
      1. use Space tools > Permissions to see the permissions granted to different users in accessing your personal space
      2. find your group name in Submission Check Page, and allow this group to have the following access rights to your personal space:
        1. All - view, delete own
        2. Pages - add, delete
        3. Attachments - add, delete
        4. Comments - add, delete
      3. The following is an example of the personal space of CONF101_U01, and with the permissions to the group conf101_team01 added
      4. click the Edit Permission button to change the permission setting as follows:
    3. Task: add a classmate to access your personal space
      1. Find a classmate in All Teams who is NOT in your current team, and make sure he/she is in your own class (so that you can contact him/her directly)
      2. Chat with your classmate to make sure he/she knows you are adding him/her to your personal space. Also, ask him/her to add you to his/her own personal space in return.
      3. Add the user to the Individual Users section. Make sure you grant the following rights to your classmate:
        1. In the above example, I added CONF101_U02 to the personal space of user CONF101_U01. Note that I did not grant the last four items to CONF101_U02, as those permissions can allow other users to make a lot of changes to your own personal space.
      4. Ask the user to check if he/she can create a page to your team space. Likewise, see if you can add your page to his/her personal space.
    4. TaskCreate a page My first page, with the following contents:
      1. A table with three columns, with the heading “name”, “student ID” and “email”. In the 2nd row, fill in your full name, your student ID and your email address.
      2. Insert a photo, and set its width to 800px
      3. Add a link to the image, which links to the home page of the subject space (Confluence 101 Home)
      4. Add the labels “firstpage” and “conf101” to the page.
      5. Change the page restriction so that it is viewable by all, but only editable by yourself, and those in the group conf101_contributors. Ask a classmate in your own team to try to access your page to verify he/she can view the page but NOT edit the page.
      6. Add link of your My first page to the confluence 101 submission page.
    5. Task: Shared access to My first page
      1. Find a user in your class in your same Confluence 101 team, and change the restriction of your My first page so that he/she can edit the page, but not others in your same Confluence team. Ask the user to verify if the restriction is set appropriately. You will have to find another user to verify that the page is only accessible by you and the first user.
        1. Note that as you have already granted those in your same Confluence 101 team to have read/write/delete access to your space, ANY student in the same team should be able to edit your page.
        2. You will have to change the restriction of the page My first page to allow only you and the first user to edit the page.
      2. After setting the restriction, both you and the first user can edit the page at the same time. Try typing in some more words and save the page.
      3. While in the viewing mode, on the My first page, highlight some words and move the mouse on top of the highlighted area to see the button for adding inline comments as follows:
      4. Add an inline comment, and ask the first user to reply your comment. You or the first user can resolve the comment as follows:
      5. You can access to those resolved comments by using the "Resolve Comment" function, and can reopen them
    6. TaskSearch, comment and mention
      1. Search for another page with the labels “firstpage” and “conf101”, and you should be able to find pages from other students in your class. Pick a page at random, “watch” it, “like” it and add comments to the page.
      2. In the comment, “mention” another student (NOT the author of the page you are commenting).
      3. Note that
        1. By “watching” it, you will receive an email notification whenever there is someone edited the page. You will also see a notification in the workbox.
        2. By adding comment to the page, the author of the page will receive an email notification (and a notification in workbox)
        3. By “mentioning” another person, an email notification (and a notification in the workbox) will also be sent to the person being “mentioned”.
        4. By “liking” a page, the author of the page will get a notification. With enough “likes”, the page will appear in the “Popular” tab.
      4. Check with the author of the page as well as anyone you “mentioned” in the comment section, and see if he/she received the notification.
    7. Task: Add a video to My first page
      1. Run a computer game on your computer and record a short video of the game. You can refer to Screen Recording, Especially for Computer Games on some recommendations on tools to use.
      2. Convert your video into H.264/H.265 format. You can refer to Recommended setting for video for confluence on how to do this.
      3. Upload the video (in mp4) to the page My first page, using the VideoJS macro (refer to Using VideoJS plugin to avoid autoplay of video if you have multiple videos.)
    8. Create another page with the name “My first page” and see what happens when you save the page.
  5. Profile
    • update profile
      • Go to "Profile" and "Edit Profile"
      • fill in information in "Personal" and "Company"
      • please do not change "full name" and "email" directly, as they will be overwritten later and restore to old values by the system
    • change email address
      • If you want to change your email address, please go to Change email address and post your current email address and your new ones
      • It will take some time for system administrator to help you to apply the change.
    • update your full name
      • check correctness of name, and if want to change, post to Change details in your profile
      • It will take some time for system administrator to help you to apply the change.

  6. Access the space Confluence 101
    1. Find and visit the space Confluence 101
      1. Go to Search box and enter Confluence 101
      2. Either go to the space Confluence 101 or the home page Confluence 101 Home. Note that there are different icons for "home", "space", "page" and "calendar". 
    2. Add Confluence 101 to my spaces
      1. Find the space name Confluence 101 on top left corner, and click the star "Add to my spaces"
    3. On left sidebar

        • for showing pages and sub-pages in this space, e.g. Learning Resources for Confluence, and then FAQs under it
        • suggest to read them after going through this tutorial
      2. Pages
        • Recently updated - for viewing recently updated pages

        • Browse and reorder all pages - you can only browse but not re-order in this space due to limited permissions to the user
      3. Blog
        • for blogging
        • In a space which you have appropriate rights, use Create > Blog Post to create a blog post. You cannot do this in this space, as you do not have sufficient rights. However, you can do this in your own team space (Confluence 101 Team0?) for this workshop 
      4. Questions
        • for asking questions relating to this space, which is about using Confluence in this specific space
        • you can post your question on using Confluence here
      5. Calendars
        • click on Calendars to go to Confluence 101 calendar
        • go to ... to the right of Confluence 101 and enable Watch on the calendar
        • go back to dashboard to find the upcoming event from the calendar on lower right corner
      6. Glossary
        • Glossary for this space; currently consists of a few terms relating to Confluence
        • In a space which you have sufficient rights, use Create > Glossary to create a glossary. You cannot do this in this space, as you do not have sufficient rights. However, you can do this in your own team space (Confluence 101 Team0?) for this workshop.

  7. Task: Chat
    1. Chat with a classmate
    2. Check chat history, and you should be able to find record on the previous chatting
  8. Access to team space
    1. Visit the page Submission Check Page to check your group name
    2. Find your corresponding team space in Settings on Spaces, Groups and Test Users, and go to the space. You have full access rights to this space, and you can experiment with different features in Confluence,
    3. Task: create a blog by using Create > Post Blog, and add the title "Blog post from <your name>" and add a photo to the blog post. Note that <your name> is a placeholder for your name.
    4. Task: create a glossary item
      1. Create Glossary as follows (if none exists):
        1. You can only create once.
      2. Go to the Glossary page, and add a glossary item.
    5. Task: create a discussion topic
      1. Create Discussions as follows (if none exists):
      2. Visit the Discussions page, and click Add discussion to add a new discussion topic.
  9. Task: More on page editing
    1. Remove the restriction to the page “My First Page”, and edit the page. Without leaving the editor, ask another user to edit the same page. The user should be in the same Confluence 101 team. What do you observe?
    2. Save the page, and ask the other user to make some changes to your page and then save again. Go to the page history and try to identify what the user has changed, and remove those changes.
    3. Edit the page and add the macro “Content by Label” which get contents from pages with the labels firstpage and conf101.
    4. Delete the page created in (c) (or any page), and then try to restore it.
  10. Create pages for the subject (Confluence 101) and your submissions in your personal space as follows:
    1. Create the page CONFLUENCE_101. You are expected to create all pages relating to this subject under this page.
    2. Create the page CONFLUENCE_101_PRIVATE under the page CONFLUENCE_101. Modify the “restriction” of this page so that it is viewable by all teachers (i.e. the group conf101_contributors) ONLY. Note that all pages placed under this page will be viewable by teachers and yourself only.
    3. Ask another classmate to verify that he/she cannot access the page CONFLUENCE_101_PRIVATE in your personal space.
    4. Refer to Individual Submission Page, the page confluence 101 submission (in Step 4.a.ii) is expected to move under the page CONFLUENCE_101_PRIVATE. Use the "View Hierarchy" function to move the page confluence 101 submission to under the page CONFLUENCE_101_PRIVATE. Also, be reminded to add the label conf101 to the page confluence 101 submission.

  11. Task: Share an online reference
    1. Use the “Share a Link” to share a page (e.g. a youtube video) to your team space, and add the two labels “group” and “apple” to the page.
      1. Note that you can drag the "Share on Confluence" as shown on the right screen capture to add that to the bookmark bar of your browser, so that you can use the function directly
    2. Share another page and add two labels “group” and “orange”.
    3. In the “My First Page”, add the macro “Content by Label” to show links with labels “group” and “apple”, and another macro to show links with labels “group” and “orange”.
      1. You can find an example in the personal space of CONF101_U05, in My First Page. You can login as CONF101_U01 and edit the page My First Page to find the two "Content by Label" macros.
  12. Task: draw.io
    1. Create a new page My Second Page in your personal space, and then add the "draw.io" macro:
    2. Refer to https://info.seibert-media.net/display/DRAWIO/draw.io+for+Confluence+-+User+Documentation on how to use draw.io. Also, please refer to Tips/Issues on Diagramming in Confluence on an issue on draw.io add-on in handling images. 
    3. You should try the following features:
      1. drag an image and add graphics/text on top of it. Note that it has a limit on the size of the image it can handle. Hence, do not insert too many images or images with high resolution.
